How we collect, use, and protect your personal information at Offistack.

1. Who We Are

Offistack is operated by Aucio Infotech("Offistack", "we", "us"). "You" means anyone who uses our website or app, including agencies and businesses that subscribe to Offistack ("Customers") and the clients they invite.

This policy follows India's Digital Personal Data Protection Act, 2023 ("DPDP Act"). For your own account data we are the Data Fiduciary. For files, invoices, leads and other content a Customer uploads about their own clients, the Customer is the Data Fiduciary and we process that content on their behalf.

2. Data We Collect

  • Account data: name, email address, phone number and workspace details you give us.
  • Content: files, comments, approvals, invoices, quotations and CRM leads that you or your team upload.
  • Billing data: plan and payment status. Card, UPI and bank details are handled by Razorpay; we do not store them.
  • Usage data: IP address, browser type and activity logs used for security and to run the service.
  • Cookies: only the cookies needed to keep you signed in. We do not use advertising or third-party analytics trackers.

3. How We Use Data

We use personal data, with your consent or for legitimate uses allowed by the DPDP Act, to:

  • Provide, maintain and secure the service, including your account and workspace.
  • Process payments and send invoices, receipts and service emails.
  • Respond to support requests and send important account notices.
  • Power optional AI features (such as CRM lead suggestions) when your workspace uses them.
  • Prevent fraud and abuse, and comply with the law.

4. Data Retention

We keep personal data only as long as needed for the purposes above. Deleted files stay in Trash for your plan's retention period and are then permanently removed. When an account is closed we delete its workspace data, except records we must keep for legal, tax or accounting reasons.

5. Where Data Is Stored

Our application servers run in India. Our database and file storage are hosted in Singapore. By using Offistack you consent to this transfer, which the DPDP Act permits except to countries restricted by the Government of India.

6. Disclosure of Data

We do not sell personal data. We share it only with the service providers listed below, or when required by law or a valid request from public authorities.

7. Security Measures

All traffic uses HTTPS, files are stored encrypted at rest by our storage provider, and each workspace is isolated with role-based access. No method of transmission or storage is 100% secure. If a personal data breach occurs, we will inform affected users and the Data Protection Board of India as required by law.

8. Third-Party Providers

We use these providers to run Offistack. Each only receives the data it needs:

  • Vercel: application hosting.
  • Neon: managed Postgres database.
  • Wasabi Technologies: encrypted file storage.
  • Razorpay: payment processing.
  • Zoho: email delivery.
  • Upstash: caching and rate limiting.
  • OpenRouter: AI model access for optional CRM features.

9. Your Rights

Under the DPDP Act you can:

  • Ask for a summary of the personal data we hold about you and how it is used.
  • Ask us to correct, complete, update or erase your personal data.
  • Withdraw consent at any time (this may stop parts of the service from working).
  • Nominate another person to exercise your rights in case of death or incapacity.
  • Raise a grievance with us, and then with the Data Protection Board of India.

If you are a client of an agency that uses Offistack, please contact that agency first for content they uploaded; we will help them respond. Offistack is not intended for children under 18.
